Build the source package
Collect the approved material specification, drawing, artwork, color standards, dieline, unwind, quality tolerances, test methods, certificates, change history, purchase quantities, and current samples. Check whether plates, cylinders, dies, and artwork files belong to you or the incumbent supplier.
Define “match”
Some items may be fixed: finished dimensions, line performance, seal window, barrier requirement, brand color, package feel, pallet configuration, or compliance documents. Other items may be open to an equivalent proposal. Write that distinction down before suppliers quote.
Compare the same commercial unit
Quotes can hide differences in unit basis, footage, impressions, yield assumptions, freight, tooling, plate charges, minimums, overrun/underrun, payment terms, storage, and obsolescence. Normalize the comparison.
- Price per thousand, pound, or impression
- Quoted yield and structure/gauge
- Tooling and prepress
- Freight and delivery terms
- Minimum run and release quantity
- Inventory ownership and aging
Trial the package and the process
A lab data sheet is not a production trial. Define incoming inspection, machinability, sealing, print, dimensions, product compatibility, distribution, and shelf-life approval. Decide who signs off and how deviations are handled.
Qualify before the shortage
A second source is valuable when documentation, samples, pricing, terms, and validation are current. If the first production conversation happens after the incumbent misses a shipment, there is no time left for disciplined qualification.
Questions buyers ask
Should I give the second supplier my current price?
That is a commercial choice. The more important step is giving every supplier the same technical and volume basis so the comparison is real.
Can a second source use the same artwork?
Usually the brand owner controls artwork, but plate/cylinder ownership, trapping, distortion, dielines, profiles, and separations may differ. Confirm rights and prepress requirements.
